Terms and Conditions ( School Bus Hire And Coach Hire only )
1. Payment Policy:
At Event Bus Hire, we aim to facilitate a seamless and hassle-free booking process. Upon confirmation of your booking, we kindly request that full payment is made within 3 business days before the scheduled trip date. This timeframe allows us to efficiently plan and prepare for your journey, ensuring a smooth and enjoyable experience.2. Booking Fee:
A 3% booking fee is applicable to both online and invoiced payments.3. Notification Procedure:
If you have not received a confirmation text containing driver details by 6 pm on the day before the booking, please reach out to us immediately.4. Safe Bus Evacuation Protocol:
Your safety is our top priority at Shuttle Bus Hire. In the rare event that circumstances necessitate the evacuation of the bus, limo, or coach, the following protocol will be meticulously followed:- Evacuation will be conducted calmly, swiftly, and in an organized manner as soon as the vehicle comes to a stop and safety conditions allow.
- Passengers will exit through the designated bus/coach door(s) if feasible, unobstructed, and safe. If door evacuation is not practical, passengers will use available marked Emergency Exits.
- Upon exiting the vehicle, passengers will assemble at a secure location while maintaining a suitable distance as dictated by the situation.
- The designated adult or teacher will ensure all passengers are accounted for, attend to their needs, and maintain order.
- The driver will be the last individual to exit the vehicle, overseeing the orderly assembly of passengers and confirming their safety. The driver will help as needed and report the incident to Event Bus Hire’s management.
- A comprehensive written report detailing the evacuation incident will be provided to Event Bus Hire’s office, including pertinent information such as location, timing, circumstances, and any injuries or distressed passengers.
- Damages resulting from the evacuation will be invoiced and due within 1-3 days, accompanied by photographic evidence.
5. Cancellation Policy for Bus Charter, Sport Transfers, or Coach Hire:
We understand that circumstances may change, leading to the need for adjustments to plans. To ensure transparency and fairness, we have established the following comprehensive cancellation terms:
- Cancellation with 48 Hours’ Notice: Written notice must be provided 48 hours or more before the scheduled charter to be eligible for a complete refund or issuance of a Credit Invoice for future use within 1 year.
- Cancellation within 24 Hours: Cancellation within 24 hours of the scheduled departure time will incur a cancellation fee equivalent to 100% of the charter’s cost. Contact our office before 3 pm on the day preceding the trip for potential credit of 50% of the charter cost for future bookings.
6. Refund Processing:
Any applicable refunds will be processed promptly, with monies returned within 7-14 business days from the date of cancellation confirmation.
Terms and Conditions for Party Buses and Limo Buses Only:
Event Bus Hire is committed to delivering outstanding service while prioritizing your safety and satisfaction. Please familiarize yourself with the following terms and conditions specific to party buses and limo buses:
1. Security Deposit:
To secure your reservation, a security deposit is required for all bookings. The deposit amount varies depending on the selected bus. Upon completion of the trip, the deposit will be fully refunded to the designated account if the bus is returned in a clean, undamaged, and satisfactory condition. Refunds may take up to 2-7 business days to reflect in your payment source, depending on the bank’s billing cycle.
2. Payment Options: We offer flexible payment methods, including:
- Cash payment to the driver on the day of pickup.
- Internet banking or bank deposit, to be settled 4 days prior to the trip.
- Payments via invoice. We accept Visa, MasterCard, and Amex.
3. Booking Fee:
A 3% booking fee is applicable to online or invoice payments.
4. Confirmation:
Upon receipt of the security deposit or full payment, a confirmation email with remittance will be dispatched. Please review the details for accuracy to avoid any issues on the day of the booking. Should any information be incorrect, please contact us immediately for rectification. An updated remittance will be sent via email.
5. Communication:
All communication via emails and text messages between you and our representatives constitutes a legally binding contract.
6. Privacy:
Personal information provided through our online booking system is securely stored in the XERO invoicing database.7. Booking Errors:
We cannot be held responsible for errors made via our online booking system. Please ensure all details are accurate before proceeding with payment.
8. Cancellation Policy:
The security deposit payment is non-refundable for cancellations. Cancellations made within 24 hours will incur a charge of 50% of the total payment.
9. Notification:
If you do not receive a confirmation text message containing driver details the day before the booking, please contact us before 8pm at 02 9188 9096 to obtain driver information.10. Punctuality:
Passengers must be prepared 15-30 minutes prior to the scheduled pickup time. Failure to be ready may result in the driver departing due to other bookings, with no refund provided.
11. Breakdown Assistance:
In the event of a bus breakdown, we will endeavor to arrange a replacement bus within 2-4 hours. If a replacement cannot be provided, a refund for the trip will be issued. Additional expenses will not be covered.
12. Force Majeure:
We cannot be held liable for delays, cancellations, or missed services due to circumstances beyond our control.
13. Traffic Delays:
We are not responsible for delays caused by accidents, roadworks, or peak-hour traffic. Please factor in longer travel times due to our bus size.14. No Smoking Policy:
Smoking is strictly prohibited on our buses in accordance with state laws.
15. Beverage Consumption:
Alcohol consumption is permitted for passengers over 18 years old with valid identification, provided it is in non-glass containers.16. Food Restrictions:
Food or snacks are not allowed on our buses.
17. Safety Measures:
Passengers travel at their own risk and are encouraged to use seatbelts when available.
18. Damage Excess Fee:
Passengers causing damage may be subject to repair costs ranging from $300.00 to $1000.00.19. Behavioural Standards:
Disruptive behavior may lead to eviction from the bus, with no refund provided.
20. Lost Property:
We are not liable for lost or stolen items. Found items are kept at our depot; please contact us for retrieval.
21. Media Usage:
Photos and videos taken by the driver may be used for advertising purposes. In emergencies involving law enforcement, these media files may be used as evidence.
